HR — leave requests

Companies with more than fifty employees

Leave requests, approvals and remaining days, without a single email.

Leave is requested on paper or by email, and the balance of days lives in a spreadsheet one person updates. When two managers approve in parallel, the same day gets covered twice, and at year end nobody can reconstruct who took what.

  • Requests submitted in the application, with the balance calculated automatically
  • Multi-level approval, with the history of every decision
  • A team calendar, so overlaps are visible before approval
  • Different types: annual leave, sick leave, unpaid, special events

Residential associations and management companies

Costs allocated correctly, and owners who can see their own notice.

The manager spends more time explaining the calculation than doing it. Every owner who does not understand where a figure comes from generates a conversation, and the conversations repeat month after month.

The receipt photographed on the spot, the claim closed without the pile of paper.

Receipts collect in a wallet and reach accounting once a month, creased and without context. Half the time spent on expense claims goes into reconstructing who spent what, where and why.

B2B sales teams

A pipeline on your own stages, with the quote generated from the customer record.

Subscription products ask for data the salesperson does not have at that moment and fail to ask for the one thing that would help them. When entering data gives nothing back to the person entering it, the data stops existing.

  • A customer record with the whole history: conversations, quotes, orders, documents
  • Quote and contract generated from a template, with the details filled in

Non-bank lending institutions

The credit file, from application to decision, with every step in the log.

In a lending file every step has to be reconstructable: who saw what, who decided and on what basis. A flow held in email and files does not survive the first inspection and cannot be scaled.

Car and truck fleets

Transport and distribution companies

Documents with expiry dates, trips, fuel use and the real cost per kilometre.

A fleet gets run from a file of expiry dates someone intends to check every week. It works until the day that person is on holiday, and an expired technical inspection found during a roadside check costs more than any repair.

  • Inspections, insurance, road tax, licences and certificates, with an alert sent to the person responsible
  • Trips and return runs, with real distances and times
  • Mileage-based servicing, pulled from the GPS system
  • Refuelling reported by the driver from a phone, compared against the norm
  • Total cost per kilometre, per vehicle and per period

Products designed, not yet delivered

We drew them because we have met the same problems often enough. We show them so you can see how we think through a workflow, not as delivered work.

Bookings Concept 01

Agenda Pro

Bookings that check the person, the room and the device at the same time.

Simple booking systems accept appointments for which, in reality, there is nowhere to hold them. The result is a crowded waiting room and a schedule that slips from ten in the morning onwards.

  • A simultaneous check on every resource before confirming
  • A separate diary per staff member, with the real duration of each service
  • An automatic reminder the day before, with confirmation from the customer
  • A waiting list: a freed slot is offered automatically

Integrations Concept 02

Fluxo

Synchronisations that stop in a controlled way when the data is wrong.

Every import looks elegant in a demo. The problems start the day the supplier answers in forty seconds, sends a price with a comma, or returns a negative stock figure.

  • Import from an API, XML, CSV or FTP, with the field mapping documented
  • Automatic retries and a log of every call
  • An alert when a flow stays stuck, rather than silence
  • A screen where the operator sees the errors and can retry them

Stock Concept 03

Warehouse X

Stocktaking by zone, with a phone, without stopping work.

A classic stocktake means shutting the company for a weekend and stays accurate until Monday morning. Rotating counts by zone keep the accuracy up all year for far less effort.

  • Code scanning with a phone camera, without dedicated readers
  • Goods-in, transfers, consumption and returns, each with its own document
  • Traceability by batch, serial number or expiry date
  • A discrepancy report, with an explanation and an owner

Support Concept 04

Ticket Desk

Requests in one place, each with an owner and a deadline.

As long as support lives in personal inboxes, nobody can say how many requests are open and who answers for each. When the person handling them leaves, the history leaves too.

  • A single place for requests, from a form, email or phone
  • An owner, a priority and a deadline for every ticket
  • Complete history per customer, visible to whoever picks up the conversation
  • A report on recurring causes — it shows what needs fixing in the product

The applications marked Delivered were built by us. We present them anonymously — if you want a reference, ask us and we will find out whether the client will take a call.

The ones marked Concept have not reached a client yet. It says so on each of them, so you know exactly what you are looking at.

The interfaces are mockups we drew, not screenshots from delivered applications. Clients' real data has no place on a marketing website, and a redacted screenshot would show nothing.
