How do we handle late returns?

Through penalties calculated automatically per day and alerts sent before the due date. What matters is that the system knows immediately the equipment has not come back, so you can warn the next customer in time.

We have identical items. Does it matter which one goes out?

Yes, and treating them as anonymous stock is a common mistake. Each unit has its own usage, servicing and damage history, so the system picks the appropriate one and tracks it individually.
